Hunters Woods Elementary School for the Arts and Sciences

September 13, 2006

The regular meeting of the Hunters Woods PTA was helded on September 13, 2006 at Hunters Woods Elementary School. PTA President Maureen Becker called the meeting to order at 8:14 pm.

Minutes from July meeting were read; correction under President’s Report was corrected to read “Maureen Becker introduced the Executive Committee…”. Minutes stand as corrected.

Correspondence – None given this month.

President’s Report

Maureen Becker reported that thanks to “many hands” the first Tuesday folders for all grades were completed.

Committee Chairs are still needed; they include but not limited to: Reflections, Snickerdoodle, Fall Harvest Festival, Book Fair. The hope is the upcoming Volunteer Fair (9/19 at 9:30am & 7:00pm)

Special Report

Local Boy Scout, Matthew Budget who is working on his Eagle Scout Project, gave a presentation on “Bikes for the World” which will be held Sat. 10/14/06 from 10am-3pm at Langston Hughes Middle School.

Treasurer’s Report

Deborah Lannen passed out proposed budget for 2006-2007. A new line item was added under both income and expenses - “After School Activities”

Budget will be voted on at Back to School Night; volunteers are needed to take vote in each class; a sign up list was passed around.

Explanation of the line items “past expense” and “teacher gifts” was given.

Report was accepted as written.

Teachers Report - None given this month

Committee Reports

*Directory - Draft will be ready at the October PTA meeting for review. Corrections are to be sent to Susan Sather at Directory@hunterswoods.org, then she will submit it for final copy. Pam Light reported that the deadline for directory ads has been extended to Friday, 9/15.

*O&O - Volunteers are needed to help with establishing oldest and only folders on Oct. 12 th at 9:00 am, a sign up sheet was passed around.

*Hunters Horn - Susan Sather explained what this publication is and that the next two issues will be out on Oct. 18 th and Nov. 15 th.

*Room Parents - Thanks to all who have already signed up during open house sign ups will continue at the back to school night.

*Silent Auction - Susan Sather reported that this will take place in the spring but it’s never to early to start finding businesses to donate.

*Fall Harvest Festival - It was explained that this is a fun fair that will be held on Nov. 18 th. It has been scaled back from previous years and a chair of this committee is still needed.

*Gift Wrap - Cathy Uhrig and Nancy Mamros explained that this is our biggest fund raiser; 50% of the profit goes to the PTA; we are back with Sally Foster and the sale ends on Oct. 4 th; volunteers are needed on Tally Day - Oct. 5 th & 12 th at 9:00am (at the Uhrig home) and on Sort Day - Nov. 3 rd at 10:00am (at the schools kiss & ride area); Items will be distributed at the Teacher’s conferences on Nov. 6 th & 7 th.

*KIT - Cathy Uhrig explained the “Keep in Touch” system and strongly encouraged its use.

*Outdoor Beautification - Katherine Lindberg reported on 2 - 2 year projects being worked on: 1. Map of the State of Virginia in stone and 2. Enhancing the Sculpture Garden.; We will continue to work with Gaelic Gardens as a fund raising method.

*Sock Hop - Sashi Ravishankar stated that volunteers are needed for this Oct. 13 th at 7:00pm event.

*Volunteer Fair - Susan Brownsword explained how this event will introduce everyone to all the opportunities we have for volunteering; takes place Tuesday Sept. 19 th at 9:30am and 7pm. There will be raffles and food for those who attend.

*Yearbook -Maureen Becker read a letter from Chair Blakely Meyers on how the yearbook will be handled this year and how select 6 th graders will be involved in its production.

*Risograph - Marina Matthes and Cathy Uhrig explained the procedure for getting flyers made, approved and distributed; Marina also stated that copies of last years flyers are available if needed.

*Apparel - Raba Letteri made a pitch for the purchase of HWES logo items.

Principals Report

Olivia Toatley reported that it was a great opening and that we are almost fully staffed; Mrs. Mentzer is covering the 4 th grade class until a permanent teacher is hired; we currently have a total of 965 students; new staff have participated in staff training/planning; and back to school night is Sept. 26 th & 27 th at 7pm with a New parent coffee at 6:15; HWES will be taking part in “Chalk for Peace” to be held at the school 9:00am this weekend - volunteers are still needed.

Mrs. Toatley explained the report that HWES was listed as 1 of 32 schools that missed categories (we missed 1 of 29) in the AYP (adequate yearly progress).

Mini Grants

The Librarian submitted a request for $850 for 3 library book carts and signage; a motion for approval was made by Cathy Uhrig and seconded by MaryEllen Rubenstein - vote was taken and motion was passed.

New Business

A request was made to look at the number of requests made of families, for money through out the year to fund school activities. A suggestion was made to form a committee to review this issue.

The next PTA meeting will be held October 4 th, 2006 at 7:30pm at the school. See the agenda for other upcoming events and dates.
